Seasons Configuration

A season is a defined "Registration Period". It may be by year, as per the below example, bi-annually (eg: Winter 09, Summer 09), or whatever the sport requires.

The Sportzware Membership system can allow for Associations to define their own seasons, or for all seasons to be controlled by the National Body.

Set up your Seasons

  1. Click on the configuration icon (spanner) in the left menu.
  2. Click on Seasons (if you cannot see this option, it is likely that your sport governing body has not yet requested it).
  3. You will see a list of all the seasons created by the National Body, the Association, or both (depending on the permissions allowed).

At the bottom of the screen you are able to set the Current and New Registration Season.

‘Current‘ Season: This is the currently active season. It is the default season that all filters are set to.

‘New Registration‘ Season: Whenever a member is added to the system, they are given a season record for this season.

Member List Display

After setting up your seasons, additional Season-related fields will now be available to be displayed on the Member List screen.

Members

A member can be assigned a season at the Association level as well as the Club level. When the user views the members at the Association level, they are viewing the members‘ association level Season/s. When the user views the members at the Club level, they are viewing the members‘ Club level Season/s.

There is also flexibility in making players active and inactive at both the Association and Club levels.

You can bulk-change whether members are active and inactive in a particular season. Seasons fields will firstly need to be added to the Member List Display. Then, from the Member List, the user can bulk select/deselect members active status in a Season using the Change Member Status (green tick) icon.

As mentioned above, this can be done at both the association and club level.


Member Details

With the introduction of the Seasons module, there is a change to the series of tabs on the member details screen (the screen you see when you click on a member‘s name).

The Association Season Summary tab and Club Season Summary tab show a list of previous Seasons the member has been registered to. In doing so it provides a season by season history of the member. A member has at least one Season record per association, plus one per Club that they are linked to.

To edit any of the details of a member‘s Season summary, simply click on the season name.

A read only view will appear. Click edit to adjust any of the details.

Season Rollover

Click on the Season Rollover heading for instructions on performing a season rollover.

Association Rollover

  1. Click on Show Members for Rollover

This will show all members that are in the "From" season that haven‘t yet been rolled over to the ‘To‘ Season for the level.

  1. Tick the members to rollover and click the Update button at the bottom of the screen.
